In this article, we'll explore the concept of Roles and how they can be utilized to dynamically assign ownership of steps within a workflow.

Understanding Roles:

  • Roles enable you to assign specific responsibilities or ownership of steps within a workflow to team members dynamically.

  • By assigning roles based on collected information or predefined criteria, you can ensure that the right team members are responsible for the right steps within a workflow.

  • When a step with a role becomes active, the person attached to that role will receive an email notification.

Assigning Roles in FlowmapAI:

  • Start by identifying steps within your workflow where ownership or responsibility needs to be assigned.

  • Reference Person fields to dynamically assign roles to team members.

  • For example, in an Employee Onboarding flow, you can assign the HR role to a specific team member selected in the Person field that you named "HR." You can assign the HR role for steps related to confirming start dates or reviewing employee information.

  • Customize role assignments based on the specific requirements of your workflow.

  • Make fields required to ensure essential information is provided before proceeding to the next step.
